Categories for 2nd Semester Secondary Gradebooks

Attention all secondary teachers! Remember to set up your categories and percentages for each of your 2nd Semester gradebooks! Even though your 1st Semester gradebooks are set, you will need to make sure that 2nd semester gradebooks are ready to go as well. Once the first progress report period of the 2nd semester ends, you will no longer be able to change your categories and percentages. If categories and percentages are not set, your students' progress report, report card and Family Access grades will show as a zero.

If you need help setting up your categories follow the steps below.

1. Open one of your 2nd semester gradebooks and click the Categories tab.

2. On the next screen, click the Add/Edit Categories button.

3. Click the Unselect All button to remove the checks from all the categories.

4. Place a check next to each category that will be used in your gradebook.

5. Enter the percent (weight) for each category that will be used in your gradebook. Be sure that the
    total percent adds up to exactly 100.

6. Click Save.

7. Do this for each one of your gradebooks! Do this before the end of the first progress report period
    of the 2nd semester. Once the first progress report period ends you will no longer be able to set up
    your categories and percentages.

Adding Email to Your Android Phone

The following will demonstrate how to set up your SBISD Email on your Android Phone. This way you don't have to be at a computer to check your email. You can check it from wherever you happen to be standing!

Please note that these steps may vary from what you actually see on your phone screen. Android Phones may differ slightly from one to another.

  1. Tap Settings.
  2. Tap Accounts & Sync.
  3. Tap Add Account.
  4. Different phones have different wording but you should see a button titled CorporateCorporate Sync, ExchangeExchange Active Sync, or Microsoft Exchange. Tap this button.
  5. In the Email Address field, type your full SBISD Email Address. ex: john.doe@springbranchisd.com
  6. In the Password field, type your SBISD email password.
  7. Tap Next.
  8. In the Domain\Username field, type "sbm1\" followed by your SBISD username. ex: sbm1\doej
  9. In the Server field, type "owa.springbranchisd.com"
  10. Select the box to Use secure connection (SSL).
  11. Select the box Accept all SSL certificates.
  12. Tap Next.
  13. On the Account Options screen, choose how often you would like your phone to sync your email
  14. Tap Next.
  15. Tap Done.
  16. Your SBISD email is now synced to your Android Phone.

EdCampSpringBranch - Winter Edition 2016
Educational Technology will host our 2nd EdCampSpringBranch! Typically referred to as an "unconference," we'll meet up in the morning to set the schedule and then engage in authentic conversations and training as determined by the attendees. Mark your calendars and register in Eduphoria to attend EdCampSpringBranch - Winter Edition 2016 on Saturday, January 23rd from 8:30 - 12:00 at Spring Forest Middle School.

Professional development that is centered on a technology tool or idea feels lop-sided and leaves the learner wondering what to do next. Today, technology is an integral part of the pedagogy of teaching and professional development should seek to strengthen educator understanding of how technology empowers learners.


We’ll begin the morning setting the agenda. Bring your burning topics that you want to discuss and/or tools you want to learn to better incorporate into your classroom for your learners. We’ll have 3 sessions, end the morning with door prizes and hopes that you’ll continue the conversation with fellow attendees over an impromptu lunch at a local establishment.

Campus eTrainers and the Bilingual/ESL department are spotlighting the BrainPOP ESL lessons and online activities for our ELL students. BrainPOP ESL provides students opportunities to interact in the areas of listening, speaking, reading and writing using interactive modules, games and videos.

itslearning Update
Spring Branch ISD has purchased itslearning as the content and learning management system for the district. With itslearning, teachers can create activities and assignments that cater to a variety of individual learning styles including educational videos, interactive learning games and applications that enable students to make videos, animations, web pages, podcasts, music and more.

The platform allows teachers to tailor learning objectives, content, method, pace and environment to each student’s unique learning needs. All this helps drive student engagement and ownership, and ultimately, performance. Recently, core directors and curriculum writers were introduced to the platform and are in the process of designing templates tailored to our curricular needs. Stay tuned and watch for further news on how this tool will help to transform learning opportunities in Spring Branch!

PK-2 Classroom Technology Refresh Project

All PK-1st grade classrooms are receiving 8 iPad minis and 2nd grade classrooms are receiving 12 Chromebooks!
  • We have completed our first round of campuses (BBS, LLS, PPS, TTS, WWS, HBE, RCE, SOE, WWE, SWE, TWE).
  • We will complete our second round by Winter Break (BHE, EWE, HES, MWE, PSE, SBE, SSE, TCE, WCE).
  • We will complete our third round by March 2016 (BCE, CBE, FWE, HCE, MDE, NHE, TFE, VOE, WVE).
Educational Technology has created two residencies to support PK-2nd grade teachers (who have received their new devices) with new strategies to develop literacies using digital tools. Each residency meets 3 times - 2 half-days and 1 after school meeting.

Residencies for campuses in the second round of deployment are as follows:

Apple Professional Development for PK-1 Teachers
We are also bringing in Kevin Sheppard, Apple Professional Developer, to work with principal-appointed groups of PK-1 teachers. This session will engage participants with two apple PD’S: Engaging Early Learners (iOS) and Cross-Curricular Connections for Elementary Learners (iOS). Those teachers will take what they learned from this session and collaborate with the other PK-1 teachers on their respective campuses.

Adding SBISD Email To Your Smart Phone

We know that many of you will be receiving new Smart Phones for the holidays! Of course you will want to set it up with your SBISD Email. Or perhaps you received yours early and are eager to set up email but aren't sure how. The following will show you how to do just that!



Holiday Procedures for Technology Items

As we approach the end of the semester, it is important to keep in mind the procedures for dealing with technology items before leaving for the holidays.

1.      COWs and Carts
         a.      Make sure that all of the devices in your Carts and COWs are plugged into electrical power.
         b.      Make sure that the COWs and/or Carts themselves are plugged into electrical power.

2.      Printers
         a.      Make sure that they STAY PLUGGED IN.
         b.      Turn the printer OFF.
         c.      Leave the Surge Protector ON.

3.      ActivBoards
         a.      Use your remote to turn the projector OFF. Letting the projector turn itself off actually                          leaves it on and uses “Bulb Life."
         b.      Do not disconnect any of the wires.

4.      Desktop Computers
         a.      Turn them OFF.
         b.      Leave them plugged in.
         c.      Turn the monitor OFF.
         d.      Leave the Surge Protector ON.

5.      Laptops/Netbooks/iPads/iTouchs without Carts/COWs
         a.      Turn them OFF.
         b.      If at all possible put them in a Cart where they can be plugged in.
         c.      Otherwise, put them in a secure location.
         d.      Feel free to take your teacher laptop home. Please remember to keep it secure.

6.      MacBooks
         a.      Please make sure that all MacBooks are charged. If they run completely out of “juice,” they                    HAVE to be re-imaged.

Email Tips

Is your email running slower than usual? It could be that your mailbox has too many messages. A large number of messages can contribute to slowness.

Are your important messages just sitting in your inbox unorganized? Microsoft Outlook has a way to help get your important messages organized while increasing the speed of your mailbox.

Here are some steps you can take to help speed up and organize your email:

1. Delete any messages that you do not need. This includes any "Sent" messages you no longer need.

2. Be sure to empty your "Deleted" messages box as this also counts against your mailbox storage.

3. Create "Personal Folders" to store messages you would like to keep. Messages stored here do not count against your mailbox storage. Click here for instructions on how to create "Personal Folders" and ensure they are stored to a safe location.

4. If you have already created "Personal Folders," click here to ensure they are being saved to a safe location.

Adding Email to Your iPhone

The following will demonstrate how to set up your SBISD Email on your iPhone. This way you don't have to be at a computer to check your email. You can check it from wherever you happen to be standing!
Please note that these steps may vary from what you actually see on your phone screen. iPhones may differ slightly from one to another.

EdTech Headlines and Happenings

PreK-2 Classroom Technology Refresh Project
We have completed Round 1 of the PreK-2 Classroom Technology Refresh project and are currently planning Round 2 scheduled for mid November to early December. All PreK-1st grade classrooms are receiving 8 iPad minis and all 2nd grade classrooms are receiving 12 Chromebooks. Our plans are to complete the project by the end of February 2016.


Residencies
To support PreK - 2nd grade teachers (who have received their new devices) with new strategies to develop literacies using digital tools, Educational Technology has created two residencies. Each residency meets 3 times - 2 half-days and 1 after school meeting.
Look for additional opportunities as the devices are deployed.

Campus eTrainers are off and running! If you’re a K-8 science teacher and aren’t already using My BrainPOP,  please connect with your eTrainer. MyBrainPOP really expands ways you can use BrainPOP in the classroom. Additionally, at the high school level, TurnItIn trainings are being offered as we keep our vision on T-2-4. Digital Leadership Lessons

  • In October, our classroom focus is "Be Kind" as we teach lessons on treating others with respect and dealing with cyberbullying.

  • In November our classroom focus will be on how we present ourselves in digital environments and the permanency of the online world. The lessons can be found on the Curriculum Dashboard.

After teaching the November lesson, print and sign the Teacher Verification Form (also on the Curriculum Dashboard) indicating you've taught all the lessons and turn it into your designated campus administrator who will keep it on file.

Resolving Technology Issues Efficiently

Before you enter a Technology Service Request Ticket, please keep in mind that not everything requires a visit from your campus tech.

Our Help Desk may be able to assist you over the phone. Call them at 713-251-TECH (8324). Monday - Friday 7:00 am - 10:00 pm, Saturday - Sunday 8:00 am - 10:00 pm.

Issues that may be resolved over the phone include but are not limited to:
  1. SBISD Network password is not working or expired.
  2. Google Account Login Problems.
  3. Not able to connect to your Personal Folders in Outlook.
  4. VPN (Connect to network away from district) connection issues. Call the Help Desk while you are away. We are available until 10:00 pm.
  5. Needing to print to a printer that is not currently setup on your computer. Please obtain the name or location of the printer before you call. (See additional printer information listed below).
Stargel Printer Program
Printer hardware issues are serviced through Stargel, not your campus tech. If your printer requires service, just look for the Stargel label, call them at 713-461-5382 and receive fast courteous service.

The Stargel Program has many benefits for SBISD including:
  1. Repair service within 24 hours of receiving the service call.
  2. Printer replacement for unrepairable printers.
  3. Toner cartridge replenishment - same day or next day service once they receive the P.O.
  4. Service Techs who are trained to repair your printers and copiers.

Gradebook Tip: Grade Change Requests

Once a grading period has closed, you cannot change an assignment grade or term grade without going through the steps listed below. Please remember that you will have a maximum of two hours to complete this process. If you do not finish the process in two hours you will have to start over again.

After submitting your request, before grade changes are finalized, they will have to be approved by your administrator or designee. If your request is denied you will need to repeat the steps listed below to change the grades back to the way they were prior to the request.

Please complete every step below.

  1. Hover your mouse over the Options button in the column heading of the grading period and choose Grade Posting Status for Term.

 
  1. Click Request Grade Changes.



  1. In the Reason for Requesting Grade Changes box, type the reason you are requesting a grade change, then click Yes.



  1. The grading period is now open for grade changes for the next two hours. You are able to make changes in the gradebook for the grading period. When finished, hover your mouse over the Options button in the column heading of the grading period and choose Grade Posting Status for Term.

 
  1. Click Complete Grade Changes.



  1. Click Yes.



  1. Your administrator, or designee, will then receive your request for grade changes. They will either approve or deny your request. If your request is denied, you will have to repeat the above steps to change the grades back to the way they were prior to the request.



Checking the Status of Your Technology Service Request Ticket

When you create a Technology Service Request Ticket, you will receive a confirmation email from the "251Tech" account as well as additional emails as the ticket is updated. Please take the time to review any updates in the ticket system as additional information may be requested.

When additional information is requested, or if you have new information you would like to add, please do this within the ticket. Do not reply directly to the email as this is an informational email and is not monitored.




If you receive an email from the "251Tech" account and would like to respond, please add your information in the “Add Comment” section of the Technology Service Request ticket.

Updates to Teacher Webpages

Teachers, if you are responsible for maintaining and editing a page on your campus website, you have probably noticed a few changes in the way edits are made.

Why did this happen?

Over the summer our website software (DNN) was upgraded to the newest version. It’s the first step in our process to improve overall functionality and usability for our campus websites.

While there will be a learning curve for all of us while learn the ins and outs of the new version of our website software, we believe all users will ultimately enjoy working with this version as opposed to the previous version, which was much more limited in overall functionality and capability. To assist you in getting the hang of editing the new version of the website software, we have have created a series of training documents covering the basic steps. They can be found by clicking here.

Welcome back to an exciting new chapter at SBISD with Dr. Scott Muri at the helm and with a renewed focus on Every Child. We in Technology Services are committed to making a positive impact on Every Child Every Day.

If you need technology help, please call the Help Desk 713-251-TECH (8324). Hours are: 7 AM to 10 PM Monday thru Friday and 8 AM to 10 PM Saturday and Sunday.

Please remember we have a scheduled Maintenance Window for server, infrastructure and network upgrades that starts at 6:00 PM every Friday. During this Maintenance Window, systems may go down without warning. Most Fridays you won’t notice anything but if you find something not working on a Friday evening, you’ll know why.

We have several exciting improvements underway. We are taking what is already a robust network to a whole new level this year. Our ultimate goal is 100% uptime. We are adding redundancies (alternate paths) in many places so there is no single point of failure. We have expanded our internet capacity this year and we are upgrading our wireless network so we can support more student devices in the classroom.

Friday Maintenance Window

Fridays 6:00 pm - Saturdays 6:00 am
Football Season: Email, network and Internet - Fridays 10:00 pm - Saturdays 6:00 am

We have 450 computer servers at SBISD serving 40,000 users (35,500 students plus 4,500 staff). Our wired and wireless data network connects these servers to our computers – desktops, laptops, tablets, smartphones, etc. The data network makes it possible to access several hundred different programs we collectively use across the district. The network provides access to the Internet and provides content filtering (for our kids) and firewall protection (for viruses and malicious hacking).

To maintain this extensive infrastructure takes time and effort. Computer software goes through periodic updates to fix problems, introduce new features and stay current. Updating takes time and while the update is taking place, the computer or software is not available for use. I’m sure you’ve experienced this with your smartphone. With this many servers and programs something is always being updated – to fix problems, to apply security patches, to upgrade to a new version.

Instead of scheduling each upgrade individually, we accumulate all the updates for the week and do them all on Friday evenings. That’s the time most of us are taking a breather from work. This is our “maintenance window”. It is from 6:00 PM Friday to 6:00 AM Saturday. During this weekly Friday “maintenance window” which system goes down depends on what maintenance we are doing that week. If we are upgrading a major network component, everything will go down. If we are upgrading one application, just that application will go down. Please do remember the program you are trying to access may be down Friday evening. You will not see a warning. If it is being updated, it will just go down abruptly.

By instituting the concept of a “maintenance window”, updates become a routine thing. We don’t have to “schedule” each upgrade with all the affected users. And, you don’t see a bunch of emails about various systems going down at various times for maintenance.

To summarize, any computer system may go down on any Friday after 6:00 PM without warning. (During football season, we postpone email, network and Internet upgrades to after 10:00 PM.)

Don't Risk Losing Your Files! Save to Your SAN Folder!

Every SBISD employee has a SAN Folder, also known as an H-Drive. It is a storage folder on our network where you can store files such as Word documents, Excel sheets, PowerPoint presentations, etc. You should save your files to your SAN Folder. Why? Because your SAN Folder is backed up and files stored here can always be restored if accidentally deleted. Click here for instructions on how to restore files to your SAN Folder.

Saving to your SAN Folder is a much safer way of storing and protecting your data!

If you store files directly on your laptop i.e. My Documents, Desktop, C-Drive etc, you risk losing them if you delete them or if your laptop crashes or is stolen.
If you need help saving to or accessing your SAN Folder, please see the steps below. 

Saving to Your SAN Folder
1. When saving a file to your SAN Folder for the first time, choose "Save As."


2. Click on your SAN Folder in the folder list. Your SAN Folder name begins with your network user name.


3. Name the file and click "Save."


4. The file is now saved to your SAN Folder.

Accessing Your SAN Folder 
1. Click the My Computer icon located on your computer desktop.


2. Locate your SAN Folder icon. The name will begin with your network username.


3. You will then be in your SAN Folder.

After Hours Technology Help Desk Support

Do you ever find yourself working late and in need of technical support? The SBISD Technology Services Help Desk is pleased to offer after hours support available evenings, weekends and holidays!
  • After Hours support is available from 5pm – 10pm each night, 365 days a year
  • After Hours support is available during the Holidays from – 7am – 10pm

After Hours Support can provide assistance with issues pertaining to:
  • SBISD Software Systems
  • VPN
If the After Hours Support technician is unable to resolve your issue, they will assist you with submitting a Technology Service Request ticket. The ticket will then be resolved during regular hours.

The after hours phone number is the same as regular hours: 713-251-TECH (8324).

Skyward Tip: Due Dates in Gradebook

The Skyward Gradebook is completely date driven. This means teachers need to be mindful when entering assignments into their gradebooks to ensure the grades are counted in the correct grading period. The dates not only drive the grading period but also how the information displays in Family Access.
 
After a grading period has ended, teachers have a limited number of days to enter grades for that grading period. This is called the posting window.
 
When entering assignments:
  • Make sure the proposed due date is set to a date prior to the end of the current grading period. If the proposed due date is not in the current grading period, it will be part of the next grading cycle.
  • Remember that the end of the grading period is not the same as the end of the posting window.

Laptop Procedures for a Staff Member Transferring to a Teaching Position

  • Staff who transfer from a District Department Position to a Teaching Position must turn in their computer equipment to their department before beginning their new position.
  • Transitioning staff member will receive a Teacher Laptop at their new campus.

Tech Tip: Lock Your Computer!


LOCK YOUR COMPUTER WHEN YOU STEP AWAY EVEN FOR A MOMENT!

If you walk away from your computer and do not lock it or log off, it poses a security risk to you and your school. Someone can use your computer in an unauthorized way even if you are away for only a few minutes. 

Some examples include:

·       Send email from your account
·       Tamper with or delete attendance or grades
·       Access and download confidential data

The easiest way to prevent unauthorized access to your computer is to lock it when you are away. You will not shut down any programs or close any files you are working on. All you have to do to get back in is enter your password and you can pick up where you left off. 

Hold down the WINDOWS button on your keyboard then press the letter L.


Laptop Procedures for a Teacher Transferring to a New Campus

  • Teachers who transfer to a new campus will take the following equipment to their new campus:
    1. Laptop
    2. Laptop Case (bag)
    3. Power Adapter
  • Teachers will leave the following equipment in place inside the classroom of their former campus:
    1. Monitor
    2. Monitor Stand
    3. Laptop dock
    4. Keyboard
    5. Mouse
    6. Docking Station Power Adapter
    7. Classroom Based Technology

  • Teachers must turn in their laptop to the Campus Librarian and receive the Librarian’s signoff on the Principal’s check in form. 
  • Lost, Stolen or Broken Laptops
    1. Lost – Create a Help Desk Ticket to determine procedure for replacement.
    2. Stolen – Get a SBISD Police Case Number and create a Help Desk Ticket.
    3. Broken – Create a Help Desk Ticket for repair.
